The host organisation is usually in charge of arranging the training period abroad by involving the appropriate departments and personnel.
The coordinator of the host organisation should communicate to the student:
- the meeting place
- the department/office
- the accommodation
- the supervisor's name.
The welcome is organised in different ways according as the student is of age or underage. In this last case, the student is often accompanied by a coordinator of the sending partner.
On the first day the coordinator and/or supervisor should:
- take the student to school and introduce him/her to the school manager or a delegate
- introduce him/her to the classmates
- introduce him/her to the teachers
- show the administrative department
- show school facilities (services, canteen, etc.) and laboratories
- inform the student on the school internal rules
- inform the student on his/her rights and duties
- show other additional services to facilitate his/her integration.
The supervisor deals also with the documentation provided by the sending organisation ( letter of introduction, trainee's profile - original copy, other documents as the Joint Report, the Internship Agreement, the insurance).
